The basics
What is the purchases IVA book?
The purchases IVA book is the register where a business organizes acquisitions related to its economic activity. In Salvadoran accounting practice, it helps document which purchases generate input tax credit, which transactions are taxable or exempt, and which documents support each amount.
When a business buys from a supplier and receives a Comprobante de Crédito Fiscal (CCF, a tax credit voucher), that transaction is normally reviewed for the purchases book. The person preparing the book checks the date, supplier, NRC or NIT, document number, taxable amount, IVA, exempt purchases, imports and other fields depending on the document.
With electronic invoicing, the most valuable input is no longer just the PDF: the DTE JSON contains the structured document data. This reduces manual entry, but also requires correctly classifying each file to prevent errors in the book.
- Records purchases supported by valid tax documents.
- Helps track input tax credit and purchases for the period.
- Requires monthly organization, document validation and correct classification.
- With DTE, JSON enables field extraction without transcribing each invoice.
Which documents usually feed the purchases book?
The most common case is a Comprobante de Crédito Fiscal received for local purchases. Credit notes, debit notes, imports, exempt transactions or documents relating to sujetos excluidos may also appear, depending on the business.
The operational rule is simple: not every file received by email belongs in the purchases book. First identify whether the business is the document recipient, whether the DTE type belongs in the selected book, and whether its date falls within the period being prepared.
| Document | Practical use | Common precaution |
|---|---|---|
| Comprobante de Crédito Fiscal (CCF) | Basis for taxable purchases and input tax credit | Check the supplier, date and IVA amount |
| Credit note | Adjusts an earlier transaction | Do not treat it as a positive purchase if it reduces the amount |
| Debit note | Increases or corrects amounts | Keep the link to the original transaction |
| DTE JSON | Structured source for automation | Do not confuse the visual PDF with structured tax data |
Common mistakes when preparing purchases IVA
The most costly mistake is not always arithmetic: often it is misclassifying a document. A final-consumer invoice, a withholding voucher or a CCF issued by the business can end up in the wrong place when the process relies on copying and pasting without validation.
Another common mistake is mixing months. If the closing period is May but April or June documents are included without review, the totals no longer match the period. It is therefore useful to work by business, month and book type.
- Uploading another month’s documents without checking the issue date.
- Using the PDF when JSON is needed to extract reliable data.
- Duplicating the same DTE because it arrived several times by email.
- Putting sales in purchases or CCF in final-consumer sales.
Quick summary
To prepare the purchases IVA book in El Salvador, the recommended sequence is to gather the period’s DTE JSON files, separate documents by business, validate that they are received purchases, check for duplicates and generate the book with its fields ready for accounting review.
AIBEX does not replace responsible tax review. It removes repetitive work: reading JSON, identifying DTE types, organizing rows and preparing the book for review, download and monthly follow-up.
How to do it in AIBEX without transcribing each invoice
Once you understand the purchases book, the modern workflow is simple: obtain the DTE JSON files, choose the business and month, and drag them into the AIBEX extractor.
1. Open Process Invoices
Select the Purchases Book from the main dashboard. This button directs the workflow to the correct purchases IVA processor.
2. Drag in the Hacienda JSON files
AIBEX reads the DTE, validates the document type and prepares the book’s rows without manually copying fields.
3. Check duplicates and export
